QUALIFICATIONS: 

  • Any combination of education, training, and experience equivalent to the completion of a high school diploma.
  • Additional preparation and/or college work preferred.
  • Proficient in Microsoft Office Word, Excel, Access and PowerPoint software applications.
  • Proficiency in BusinessPlus (HRIS), KRONOS, and TalentEd software applications preferred.
  • Strong organizational skills, multitasking, and ability to work with little supervision required.
  • At least three years effective and relevant work experience preferred.
  • Possession of the knowledge, skills, abilities, and physical attributes necessary to perform the essential functions of the position.
  • Demonstrates effective human relations and communication skills.
  • Such alternatives to the above qualifications as the Board may find appropriate or acceptable.

JOB GOAL:                                                                         To assure the smooth and efficient operation of an office by providing excellent customer service, assiting and guiding internal and external customers in an efficient and pleasant manner so that the office’s maximum positive impact on the education of children can be realized.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Performs secretarial and office management tasks.
  • Demonstrates skill and efficiency in the operation of general office equipment.
  • Processes new hires, transfers, terminations, FTE changes, location changes and corrections.
  • Maintains vacancy postings on the district web page and schedules interviews as needed.
  • Assists department administrators in notifying principals, directors, and coordinators of qualified candidates and tracks those sent out for interviews.
  • Responds to employment verification inquiries.
  • Assists in preparation of monthly personnel reports for the Board of Education.
  • Completes data entry and management of information in BusinessPlus (HRIS) and applicant tracking software.
  • Formats, types, or creates confidential and general correspondence, reports, memorandums, forms, statistical data, etc. as required or assigned.
  • Maintains files and records accurately, confidentially, and in a timely manner.
  • Protects information by completing and maintaining documentation with strict confidentiality. Holds conversations in a manner that respects privacy.
  • Communicates in a pleasant and respectful manner and handles all communication with professionalism.
  • Performs budgeting, requisitioning, and bookkeeping tasks as established by district rules and regulations.
  • High level of Math skill and computation.
  • Maintains supervisor’s calendar and arranges travel for supervisor or other staff as needed.
  • Willingness to be cross-trained and provide support to all team members and other departments when necessary
  • Demonstrates the ability to work with other team members to complete tasks in a timely manner.
  • Assists in planning and coordination of recruitment events
  • Responds to inquiries in a timely manner.
  • Works with department administrators on confidential labor and employment matters including but not limited to: grievance case research and processing, administrative leave, and meet and confer meetings.
  • May require the analysis of facts and circumstances to conclude and make recommendations for solving problems within the limits of standard or accepted practice.
  • Has a diversity of duties and responsibilities involving knowledge and application of district policies and procedures that require considerable independent judgement in the determination of action to be taken.
  • Demonstrates effective human relations and communications skills, providing a positive customer service experience to every patron and all employees.
  • Acts independently to perform many day-to-day job functions through to completion with little or no supervision.
  • Regular and consistent attendance is an essential function of this position.
  • Follows good safety practices.
  • Adheres to all district rules, regulations, and policies.
  • Other duties as required or assigned.

 

 

PHYSICAL DEMANDS:                                                     The individual who holds this position is regularly required to walk, hear and speak and must have close moderate and distance vision ability. This individual must be able to travel between district facilities. The position requires a moderate amount of travel and physical activity.

 

 

CONDITIONS AND ENVIRONMENT:                         The work environment is consistent with typical office/school environment.

 

 

TERMS OF EMPLOYMENT:                                           Salary and tweleve month work calendar to be established by the Board of Education.  Benefits according to Board policies.

EVALUATION:                                                                    Performance of this job will be evaluated in accordance with provisions of the Board’s policy on evaluations utilizing the Performance Based Support Staff Evaluation process.
